Information you provide

Our enquiry form collects your name, email address, requested pick-up location and party size. You may also provide a phone number, nationality, travel dates, pick-up details, destinations, luggage information, children’s ages and other requirements relevant to your trip. Please provide only what is needed to discuss your request, and do not send passport numbers, payment card details or unnecessary sensitive documents through the form.

How we use your information

We use your information to answer your enquiry, discuss the itinerary and vehicle, prepare a quotation, coordinate requested travel arrangements and manage related correspondence. Sending an enquiry does not confirm a booking and does not subscribe you to marketing messages.

Enquiries and email notifications

When you submit the form, your enquiry is processed by our website and sent by email to the TokyoVia team. An acknowledgement and a copy of your enquiry are sent to the email address you provide. We retain the resulting correspondence to handle your request and any related arrangements.

The form does not save the full enquiry as a submission in the website database. It uses short-lived technical records to limit repeated submissions and display the confirmation page. Our hosting and email service providers process information needed to operate the website and deliver messages; this processing may take place outside your country.

Sharing needed for your journey

Relevant details may be shared with transport providers or other service providers when needed to assess, plan or deliver the journey you request. For example, this may include your travel dates, meeting point, passenger and luggage details, and necessary contact information. We may also disclose information where required by applicable law.

Technical information and external services

Website hosting and security systems may process technical information, such as IP addresses, access times and browser information, to operate the site and protect it from abuse. Essential website functions may use cookies or similar technical storage.

To understand how visitors find TokyoVia, we may attach the referring website, campaign tags (UTM source, medium and campaign), the first page opened during the visit and the enquiry page to the notification sent to our team. We use the referring site’s domain rather than its full page URL, and omit other URL query parameters and fragments. For ad links, we record the presence of an ad-click tag rather than the raw click identifier.

This entry information is kept in the current browser tab’s session storage to preserve it while you move between pages. A new visit is started after 30 minutes without a page visit; entry information older than 24 hours is not used. If browser settings prevent storage or withhold referral information, the source may be incomplete or unknown. The information is sent to our team with your enquiry and is retained with that correspondence.

The website also uses a Google tag for traffic measurement. Google may process technical and usage information, including page visits, under its own privacy practices. See how Google uses information from sites that use its services and Google’s Privacy Policy.

If you choose the WhatsApp link, you leave this website and use WhatsApp’s service. The information you send there is also handled under WhatsApp’s Privacy Policy. Other external websites linked from TokyoVia have their own privacy practices.

Retention and your requests

We retain personal information for as long as needed to respond to your enquiry, manage related travel arrangements and meet applicable obligations. To ask about your information or request access, correction or deletion, contact us through the enquiry form or WhatsApp. Include enough information to identify your original enquiry; using the email address you originally provided helps us verify your request. We may need to confirm your identity before acting on it.

Changes to this policy

We may update this policy when our services or information handling change. The current version and its update date will be shown on this page.
